Email Continuity Planning: 4 Essential Steps to Maintain Business Communications When Technology Fails

Email Continuity Planning Blog

Email is one of those things we all take for granted—until it stops working. Whether it’s a service outage, a misconfigured setting, or something more serious like a security breach, losing access to email can bring a business to a standstill, fast. This is why email continuity planning is essential for every modern business to implement.

At FusionTek, if there’s one thing we know, it’s that having a plan in place before something goes wrong makes all the difference. Let’s talk about what to do when email fails, why continuity planning matters, and how you can stay connected—even when your inbox goes dark.

What to Do When Email Fails or Gets Compromised

If your team suddenly can’t send or receive email—or worse, you suspect a compromise—don’t panic. Start with these steps:

  1. Figure Out What’s Going On Is this a full outage, a security issue, or something more isolated? The faster you can identify the problem, the better. Be sure that you encourage your employees to come forward with technology issues so speedy responses can be executed on.
  2. Contain the Damage* (if there is a possible security issue) If there’s a suspected breach, shut down affected accounts immediately and loop in your IT team.
  3. Communicate Internally – Use another channel—Teams, phone, text—to keep your staff in the loop. Ensuring everyone is aware of the issues and knows what to expect during the recovery. The last thing you want is confusion or radio silence.
  4. Reach Out to Clients and Vendors – Let people know what’s happening and how they can reach you. A quick message goes a long way in maintaining trust with your clients, and ensuring they still have a way to contact your team.

Why Email Continuity Planning is So Important

We’ve seen email outages go from frustrating to full-blown chaos in a matter of hours. Having a plan to keep communication going—even temporarily—isn’t a luxury, it’s a necessity.

Here’s why:

  • Business doesn’t stop just because your inbox does. Sales, support, and operations still need to happen. If your business conducts critical business operations using email, you need to plan for an alternative way to do that. This could be gathering and processing orders manually, providing a clear alternative path to request support, or communicating internally.
  • Security risks go up when employees start looking for workarounds on their own. Be sure that you have the proper security leavers in place to ensure that your employees remain secure even when they are operating outside of their norm. These protections can be put in place before a security event, by creating rules, managing employee access, and with proper data governance.
  • Compliance matters, especially if you’re in a regulated industry. You need to make sure you’re covered, even during downtime. Be sure that you are aware of any compliance standards that may impact your industry and business. Certain compliance regulations require that you have a plan in place in the event of a security breach or system failures. Ensure your team is in compliance with those standards by getting a continuity plan in place.

That’s where a solid email continuity plan comes in.

What Should Be in That Plan?

A good plan doesn’t have to be complicated, but it should be clear. Here’s what we recommend:

  • Backup access to email or invest in a continuity tool that lets you send/receive messages during an outage. Be sure you also have a backup tool regularly backing up your business data; this will add a layer of security to your data and ensure it can be restored after an outage or breach. You may already have an alternative communication solution in place if you are utilizing Teams, Slack, or other instant messaging tools used for internal communication.
  • Internal communication guidelines for who to contact and how. Create and provide a document that guides employees on who to contact for certain needs and define the method of reaching out in the event of an outage. This easy to access contact page will be useful to reference during an outage or breach. Be sure if you use an outsourced IT provider or MSP, that you also make them aware immediately. Be sure your plan includes contact information for your IT team to be sure you get the support you need as quickly as possible.
  • Security protocols to keep everything compliant and locked down. Whether it is an outage or a breach effecting your email system, it is important that you continue to lock down your environment. Be sure that your continuity plan includes a protocol to lock down your environment to keep any data from flowing out or becoming compromised.
  • Training and testing to make sure everyone knows what to do if things go sideways. As an added layer of security, and to help prevent another email outage, also consider investing in email security tools. These tools are designed to protect your email system from malicious actors, as well as prevent spam messages from ever entering employee inboxes. We also recommend implementing a training tools such as phishing email simulators, to help your employees identify suspicious emails and links quickly.

What About Other Communication Tools?

If email’s out, you still need ways to talk to your team and clients. Here are some alternatives—and what to watch out for:

  • Teams or Slack
    ✅ Great for quick updates
⚠️ Might be affected if they rely on the same login system as your email
  • Text messages
    ✅ Fast and direct
⚠️ Not secure or trackable—use sparingly
  • Phone calls/voicemail
    ✅ Reliable
⚠️ Possible record gaps unless manually documented
  • Shared platforms like SharePoint
    ✅ Good for collaboration
⚠️ May need secure access and training to properly secure
  • Personal email
⚠️ Don’t do it. Using personal accounts opens the door to security and compliance issues.
